About the wiki invitations

The Invitations feature allows space admins to create invitations represented as special urls that can be emailed or otherwise shared with other registered or not-yet-registered wiki users. When users follow the invitation url, they'll be granted space permissions by assigning them to a space group specified by the creator of the invitation.

In the end, accepting an invitation is just about automatically enrolling a user into a space group, which results in gaining extra permissions be the invitee.

When to use it?

Wiki invitations are useful mainly in these scenarios:

  • space admin of a restricted spaces wants to invite and grant access to this space to existing or new wiki users.
  • space admin of any space wants to give extra permission(s) (e.g. write permission) to a bigger group of people, which is not yet formalized as a space group.

How to use it?

Before an invitation can be created a suitable space group must exist. If one doesn't exist yet, please create it first and set up permissions for this group.

Once a suitable space group exists the invitations feature can be accessed by selecting "Space Admin" from the "Browse" menu in the top right of the screen.

From there:

Select "Invitations" (highlighted in green) under "Security"

Then click "Create a new invitation" (highlighted in green)

Fill out the fields.
  1. Choose the group to assign users to in the first field.
  2. Provide the email addresses of the users to assign to that group in the second.
  3. Apply an expiration date for your invitations.
  4. For increased security it is recommended to also specify access restrictions, which be checked before an invitation is processed and access is granted to the invitee.

An invitation url will be generated and displayed. The space admin can now share this url with invitees via email or by other means.
